Job Description

This opportunity is with a leading AV provider delivering premium events across some of London’s most prestigious five-star venues. They are looking for an experienced AV Project Manager (Live Events) with a proven background delivering events within high-end venues to take ownership of the technical planning, coordination, and on-site delivery of a wide range of events, from high-level executive meetings through to large-scale live productions. The role is hands-on and client-facing, offering the chance to work with cutting-edge technology, luxury venues, and high-profile clients while ensuring flawless event execution from concept to completion.

The AV Project Manager (Live Events) Areas of Responsibility:

• Working alongside the technician team to prepare, rig, and de-rig AV equipment ahead of events within the venue/hotel, while also remaining available on-site to support any ad hoc technical requirements. Acting as the main day-to-day point of contact for clients, ensuring expectations and event requirements are delivered to the highest standard.

• Proactively engaging with clients well in advance of events to identify opportunities, understand technical requirements, and provide tailored AV solutions, arranging site visits and meetings where required.

• Creating, developing, and maintaining a portfolio of standard set designs and visuals to help clients effectively visualise event possibilities within each venue space.

• Driving revenue growth by identifying and maximising upselling opportunities across all event services, including production enhancements, video content, staging, and additional technical solutions.

• Contributing to capture rate discussions and identifying strategies to secure new business and recover missed opportunities.

• Monitoring sales files and upcoming events to ensure all sales procedures, client requirements, and operational processes are followed correctly.

• Building strong working relationships with sales teams to maximise lead generation opportunities, while educating teams on available services and supporting incentive initiatives to encourage referrals.

• Developing and maintaining a client database for all venue customers, proactively following up post-event to secure repeat business and gather service feedback to continuously improve client experience.

• Managing all operational responsibilities within agreed budget parameters, negotiating preferential rates where appropriate, and prioritising in-house resources before outsourcing crew or equipment. Maintaining awareness of revenue targets and actively contributing towards increased turnover.

• Building and maintaining excellent relationships with all venue staff, including sales, banqueting, and front-of-house teams, to ensure smooth event delivery and collaboration.

• Creating development plans alongside hotel teams to continuously improve service standards while addressing and resolving any client or venue concerns efficiently and professionally.

• Maintaining strong relationships across all London venues and operational teams to ensure effective communication, resource sharing, and full support from warehouse and front-of-house operations.

• Attending regular meetings with the London office to ensure delegated responsibilities are completed effectively, deadlines are met, and operational objectives are achieved.

• Creating and standardising reporting and information systems to provide clear visibility across equipment movements, venue requirements, quotations, and revenue reporting.

• Supporting the development of dry hire projects and large-scale event productions, including involvement in tender processes, pre-production planning, and collaboration with Event Producers and key stakeholders where required.

• Building long-term customer relationships by converting one-off corporate venue clients into established and repeat accounts.

• Monitoring competitor activity within the venue and proactively identifying opportunities to approach and win future client business.

• Delegating technical responsibilities effectively to on-site technicians, ensuring all operational duties are completed within required deadlines.

• Managing technician schedules and shift patterns efficiently to maximise productivity and support resource sharing across sister venues where required.

Required Skills for the AV Project Manager (Live Events):

• High School Diploma, GCSE Mathematics and English, or equivalent qualifications preferred.

• Strong background within AV and live events, including previous experience managing teams within fast-paced event environments.

• Previous experience within the hospitality or service industry would be highly advantageous.

• Strong technical understanding of audio visual systems and live event production, ideally gained within venue-based or educational environments.

• Experience working within high-end venues and delivering premium corporate or live event experiences is highly desirable.
