Our team ensured remote and in-person participation worked in harmony. Guest speakers joined virtually to contribute to panel discussions and interactive sessions. Using the venue’s Crestron matrix switcher system, we routed high-definition video and Dante audio from a video conferencing feed to the live stream and in-venue displays, ensuring a professional and engaging experience for all attendees.

Overcoming Accessibility Challenges

To bridge communication between in-person attendees and remote participants, particularly those with specific access needs, we provided a range of tailored services:

• Audio Translation & Live Captioning: Real-time English captions were captured from a stream text URL and seamlessly integrated into the live stream and venue displays.
• Virtual Green Room: Remote speakers used a Zoom-based virtual green room, ensuring smooth transitions and coordination throughout the event.

State-of-the-Art Audio & Internet Support

The panel relied on a robust audio setup, including:

• Wireless Sennheiser G3 Radio Mic. EM500 Kit (C) microphones (handheld and lapel).
• Hardwired Shure MX4412 gooseneck table microphones.
• All sound routed and controlled via an Allen & Heath SQ-7 digital mixing console.

A hardwired, uncontested internet connection ensured stable live streaming and flawless communication between all participants.
