Job Description

Our client is looking for an AV Events Coordinator who would be in charge of ensure all Town Hall Reservations and VIP Video Conferences are delivered to the business in a professional and efficient manner and work with a global team as well as with clients.

Main purpose of the role:

- Ensure all Reservations and VIP Video Conferences are delivered to the business in a professional and efficient manner
- Follow client processes as directed.
- Report any issues and follow up with incident tracking system.
- Report any incidents to the Client in a timely manner.
- Report all event Metrics promptly.
- Carry out any ad hoc tasks as requested.
- Support / Cover the Global Team out of regional cover and cover global inbox.


Key Responsibilities onsite:

- Testing rooms prior to event for host and speaker sites on complex events.
- Assist and support the client in the booking of complex and senior events.
- Ensure all event documentation including Confirmation booking forms, event summaries are completed and engage local technical support around the region.
- Execute and monitor complex and senior executive events. Ensure communications are answered in a professional manner and clients are updated on a regular basis.
- Advise clients the correct solution for their events
- Liaise with clients to establish needs and provide support in respect of those needs
- Ensure all equipment faults and requests are reported via the onsite procedures and tools
- Report on event metrics to the lead
- Build of relationship with key clients
- Perform ad hoc tasks as requested
- Any other responsibilities as requested by your manager or senior member of staff.


Preferred Skills:
- The post holder should be able to demonstrate an aptitude towards providing a high level of customer
service
- Should have a good standard of computer literacy and ideally will have an understanding of Microsoft
Office suite and Cisco WebEx to an intermediate level
- To be well organised and flexible and to be able to approach different tasks during the working day
- Ability to deal with difficult clients.
- Always present a positive attitude and image to the Client
- Ability to work under pressure and to tight deadlines.
- A flexible approach to the working day
- An excellent communicator confident in dealing with people at all levels
- Willing to undertake training and examinations to improve their technical knowledge.
- Event producer experience and a basic knowledge of audio Visual equipment would be desired but not
necessary.


Working Hours
- Our client is expected to work the most suitable shift pattern to support events in EMEA, within the multimedia department’s operational hours of 07.00 – 19.00 Monday to Friday.
- Flexible hours may be required to provide cover. Working hours are subject to change to meet future
requirements.


Overtime
- Some out of hours work will be required
